April Seminar was run from the 1st-7th April 2010


Contents

Pre Event

  • Brochures excellent in creating big signup hype
  • Lost hype closer to the event (about a week before). People needed to be called to check they are still coming and keep the interest up.
  • Kids signup without actually committing to coming so signups should all be called and committed before paying for food and flights.
  • The date of the seminar not ideal. It is very close to mini mach so the Shomrim and Bogrim are quite tired of the campsite. Also lots of school tours meant that most kids couldn’t afford both. Some kids away for Pesach / April Holidays.
  • Should have thought ahead about fundraising for the seminar.


Logistics

  • Worked well with Mazkira doing logistics and co-ordinating with head of project

Campaign

  • Brochures excellent for creating hype.
  • Printed too many flyers. Printed 120, should have printed 90.
  • Lost hype about 2 weeks before the event resulting in people pulling out before.
  • Tzvatim were great with attending school campaigns. Should have a campaign once every 2 weeks.
  • Launched the campaign at a good time (3 Feb in JHB and 8 Feb in CT)
  • Phone campaigning very poor. Madrichim were distracted by Mini Mach crisis.
  • Shomrim had only 1 CT person! May be as a result of the Rosh Shomrim being situated in JHB.


Madrichim

  • Had more than necessary due to small number of signups.
  • Needed more boys on Shomrim Tzevet, especially after Nadav and Dean left.
  • Worked well with Rosh of Project as Rosh of the Bogrim 1 Tzevet since the Tzevet was strong and could manage when the Rosh was *needed else where.
  • Worked well with youth worker as Rosh of Shomrim. Felt that more communication was needed between the two Roshim – 1) before the *event regarding the campaign 2) at the event regarding co-ordinating timing.


Tochniet

  • Dragged slightly in the middle. Think the seminar could be one day shorter for sure.
  • Brilliant that the last night was the breaking of pesach. Trip into Hermanus was great success and created a brilliant vibe for the widegame afterwards.
  • Quality of peulot were great. Channichim stayed involved and interested all the way through. Shomrim peulot very long but most channichim stayed involved throughout.
  • Had to move some peulot around and include more bonding/fun peulot depending on the vibe of the shichvah. No problem creating spontaneous peulot due to strong tzevet.
  • Chavura: Shomrim projects was excellent. Bogrim 1 peer-led hadracha was average. Needed more guidance from madrichim.
  • Shlichsville debate not very successful. Started trying to find a guest speaker too late. Channies missed the point of the debate, even though they enjoyed it.
  • Both Tzevatim met before the seminar to go through peulot to make final recommendations / changes. Was very helpful in saving time and having top quality peulot during the seminar.


Food/mitbach

  • Worked well with Mazkira co-ordinating food
  • Was great to have one person on the mitbach team there for the full time.
  • Mitbach team a bit chaotic to organize but due to large tzvatim managed to have enough people in the kitchen when needed.
  • Meals started late due to mitbach being disorganized. Needed more supervision
  • Meals changed around because food orders were not delivered. Didn’t really creat a problem.
  • Excellent meal plan. Plenty of food and variety. Should be re-used.


Entertainment

  • Paintball successful. Girls got involved. Gave time for people who didn’t want to play to relax. Good timing (Morning of the 3rd day).
  • Shlichsville had a brilliant atmosphere. Closed Shlichs on the 2nd last night to make sure people fully awake for the events of the next day and to end the seminar on a high.
  • Shabbat on the beach worked really well. People stayed till dark. Great feedback on bonding activity.
  • Totally necessary to have two sets of speakers and projectors. Remember to bring AUX cable from home. Sound was a mission.
  • Good amount of ruach at meals, especially Friday and Saturday night. Everyone got involved


Payments

  • Coordinated by Mazkira and JHB office.
  • Worked well, just madrichim need to be followed up.
  • Put more emphasis on madrichim paying before the actual seminar.


Recommendations

  • Shabbat on the beach
  • A guitar in shlichsville
  • Paintball
  • Final evening’s widegame (can only happen every 2 years)
  • Meal in hermanus on the last night
  • Shlichsville activities every night
  • One seminar wide activity almost every day
  • Mancom with Roshim every night
  • Meet with Tzevatim before seminar to go through peulot.
  • Use Mia Candy's 'Basic Guide to Hadracha' booklet for Shomrim- brilliant as channies take it home, get it nicely printed
